Roles and your team
Invite staff, understand the roles, and control who can see and do what.
Everyone who uses Meadow — staff, parents, and family — is a member of your service with a role. The role decides what they can see and do. Permissions are tied to the role, so access stays consistent as people come and go.
The roles
Meadow has five built-in roles. The first three are staff; the last two are for families.

| Manager | Yes | Run the service day to day — staff, rooms, children, plans, calendar — but not billing or roles. |
| Teacher | Yes | Take attendance, log activities, and post to the feed for their rooms. |
| Parent | No | See and follow their own children, manage their children's contacts, and invite family. |
| Family | No | See and follow the children they're linked to. |
Staff see the whole service. Parents and family only ever see the children they're linked to, and staff-only areas (Today, Staff, settings, reports) are hidden from them.
Inviting a staff member
- Go to the Staff page.
- Choose Invite Staff.
- For each person, enter their Full Name, Email, and Role. You can optionally set a Home Room.
- You can invite up to five people at once. Choose Send Invites.
Each person gets an email invitation. When they accept (signing in or creating an account first), they join your service in the role you chose.
You can only assign roles below your own — for example, a manager can invite teachers but not owners.
Managing your team
From the Staff page you can:
- Change a member's role (owners only).
- Remove a member from the service.
- Resend or cancel a pending invitation under Pending Invites.
- Open a staff member's profile to record their job title, date of birth, phone, home room, and notes.
Inviting parents and family works a little differently — it starts from the child's contacts. See Inviting parents and family.
